Aquascaping OEM Set Terms: Sample, Inspection, Warranty and Incoterms
An aquascaping OEM set may contain several long tools, different joint types and a protective case. A single set price does not tell a buyer whether the sample, inspection, warranty and delivery terms are suitable. Put these terms into the RFQ before comparing suppliers.
Define every component in the set
Create an itemized bill of materials. Typical lines can include straight tweezers, curved tweezers, straight scissors, curved scissors, a substrate spatula, algae scraper and case. For each item, state overall length, steel grade, surface finish, tip or blade geometry, joint style and quantity per set.
Use the Aquarium Tweezers collection to identify preferred patterns, but place exact component references in the quotation.
Sample terms
Clarify whether the sample is paid, whether freight is separate and whether the sample charge is credited against a bulk order. State which features the sample must represent: tool geometry, finish, logo, case, printed insert and retail packaging. If a substitute case or temporary packaging is used, label it as non-production.
The approval record should identify every accepted component and any required correction. “Sample approved” is too broad when one tool, one logo position or the case insert is still pending.
Inspection terms
- Verify component count and model against the bill of materials.
- Measure selected lengths and relevant tip or blade dimensions.
- Check straightness, alignment, closure and visible edge condition.
- Check scissors for smooth movement and agreed cutting test material.
- Inspect finish consistency, corrosion spots, burrs and sharp unintended edges.
- Confirm case fit, tip protection, labels and carton quantity.
Agree on sampling level or full inspection for critical characteristics before production. Ask how rejected sets will be segregated and reworked.
Write a usable warranty clause
A warranty should name the covered defects and the remedy. Separate manufacturing defects present at delivery from wear, misuse, poor drying, chemical exposure or damage caused by storage in a wet case. Confirm the claim period, evidence required, notification route and whether the remedy is replacement, credit or another agreed solution.
Incoterms and named place
An Incoterm without a named place is incomplete. Record the rule, version and location—for example, the agreed Incoterms 2020 rule followed by the named port, airport or destination. Also state who arranges freight, insurance, export clearance, import clearance, duties and local delivery. Ask for carton dimensions and weights before choosing air courier, air freight or sea freight.
Documents before dispatch
Request the commercial invoice, packing list, carton count, final inspection summary and dispatch photographs. Add material or test documentation only when required and confirm exactly what the supplier can provide.
