Wholesale Tweezer Proforma to Dispatch: Five Buyer Checkpoints
A paid proforma is not the end of a wholesale order. Buyers still need to control the agreed model, sample approval, production inspection, packing and dispatch documents. Five defined checkpoints make responsibilities visible and reduce last-minute disagreement.
Checkpoint 1: proforma verification
Before payment, verify seller and buyer details, model or SKU, quantity, unit price, currency, branding, packaging, shipping scope, payment terms and document validity. Resolve every mismatch in writing and obtain a revised document.
Checkpoint 2: sample approval
The approved sample should be identified by model, revision and date. Record dimensions, tip geometry, alignment, force method, finish, logo and packaging. A general “sample approved” message is not enough when multiple profiles or finishes are involved.
Checkpoint 3: production inspection
Agree which characteristics will be checked, the sampling plan, the measuring method and how nonconforming pieces will be handled. Request actual results rather than a blank checklist where the purchasing risk justifies it.
Checkpoint 4: packing confirmation
| Item | Buyer check |
|---|---|
| Individual pack | Model, protection, label and quantity |
| Inner carton | Mixed-model control and count |
| Master carton | Dimensions, gross/net weight and carton number |
| Branding | Approved artwork revision and position |
| Shipping marks | Consignee and handling information |
Checkpoint 5: dispatch release
Confirm the final commercial invoice, packing list, carrier or forwarder reference, carton count and agreed dispatch status. Track the shipment through verified channels. A dispatch notice should not introduce different products, quantities or shipping terms.
Keep one order-control record
Store the proforma, payment confirmation, approved sample report, artwork, inspection results, packing evidence and dispatch documents under one purchase-order reference. This creates an audit trail for reorders and claims.
What to send with a discrepancy
Identify the purchase order, model, carton or sample number and the exact mismatch. Attach clear photos or documents while removing sensitive payment data. State the requested corrective action rather than only reporting that something is wrong.
